Guidelines on Poster Presentations
Poster presentation sessions will be held in-person* on 14 December 2022, from 12:00 Noon to 1:45 PM on the day.
A poster is a display illustrating a project or a theory. An interactive session on the posters exhibited is one of the best ways to disseminate your work, and have more in-depth discussions with participants.
All submitted posters together with a 3-minute (max.) introductory videos will be exhibited on the virtual platform simultaneously. Participants are suggested to view the posters and videos before attending the interactive session.
*Notes on the arrangement under the epidemic situation:
(i) The committee is closely monitoring the COVID-19 situation, and we reserve the right to make changes to the format of the poster presentation sessions if necessary, i.e., may convert the sessions from in-person to online format.
(ii) To avoid large group gatherings, presenters per poster should be limited to two.
(iii) No eating or drinking in the exhibition areas. Wear a mask throughout all in-person sessions.
Author(s) of each accepted poster abstract is required to:

Submit a poster of 90 cm width and 140 cm high in PDF format (a print file without bleed).

Submit a short video with up to 3 minutes long in MP4 format. The purpose of the video is to give viewers a quick introduction to the work done.

Participate in the in-person interactive sessions scheduled on 14 December 2022 (from 12 Noon to 1:45 PM), in which you will meet the participants and answer their questions toward your poster.

Attend (i) an online Poster Awards Screening Q&A Session and (ii) Poster Awards Presentation Ceremony, if the poster has been shortlisted for the Poster Awards. Kindly refer to the below section regarding Poster Awards Competition for further details.
Poster Awards Competition

To participate in the competition, applicants should indicate their wish and select an award category that best-fits their work when submitting abstracts to the Expo 2022:

Educational Impact: Projects that are able to show evidence of most impact on teaching and learning;
-
Educational Technology Innovation: Projects that best illustrate innovative use of technology for teaching and learning;
-
Pedagogical Innovation: Projects that best illustrate the use of innovative pedagogy, involving technology or not.

Shortlisted candidates will be notified by 22 November 2022 and will be invited to attend:
-
the Poster Awards Screening Q&A Session (likely to be held online in the week of 05 December 2022) to meet with the judging panel and elaborate further on their work; and
-
the Poster Awards Presentation Ceremony (14 December 2022 (Day 1), 4:55 PM to 5:30 PM) in which all award winners will be announced.

An award will be given to the poster that best addresses the innovative projects/ strategies for teaching and learning in various aspects. The results will be announced in the Poster Awards Presentation Ceremony and the website.

Each participant of the Expo will also be given one vote to vote for their favourite poster. The poster that receives the most votes will be awarded the People’s Prize.
Offline and online poster exhibition

Offline poster exhibition: All submitted posters will be displayed at the Lee Shau Kee Building of CUHK from 14 to 22 December 2022.

Online poster exhibition: All submitted posters will also be displayed online at the virtual exhibition venue starting from 13 December 2022.
Our support for authors

Free poster printing.

Poster setup in the physical venue and virtual exhibition platform.

One classroom desk will also be provided for each exhibited poster in the physical venue. If you need extra desks and/or special arrangements, contact the event team in advance when confirming the authors' attendance at the event.
NOTES ON PREPARING POSTER PRESENTATION
1. Designing a poster
-
Please prepare a poster of 90 cm (width) X 140 cm (high). Save the print file in PDF format without bleed.

Make sure the abstract title, name of the author(s) and affiliation on the poster.

Using columns is a good idea. Consider arranging the content of your poster in a number of columns, beginning at the left-hand side of the board.
-
A brief introduction, clear explanation of the project/ teaching and learning strategy, and evaluation results (if available) should be clearly displayed on the poster.
-
Focus on a few main points using clear and sufficient graphics.
-
Consider using outlines or dot points for the poster presentation.
-
Use a clear and readable font size.
-
Please confirm the images that you provided are high enough in resolution and do not contain any copyright infringement materials.

If the project is funded by a university/ external grant (e.g. UGC, TDLEG, CDG), we suggest including an acknowledgement of the source of the funding on the poster.
2. Submitting your poster
-
Upload your digital poster (in pdf format) to your cloud storage platform (e.g., Office 365 OneDrive, Google Drive), and submit the shareable link to the event team by 03 November 2022. An online form for poster/ video submission will be provided to presenters of accepted abstracts later.

To facilitate our follow up action, the digital poster file should be named with your submission ID. Please also state your submission ID, as well as the abstract title in the email.

All late submissions might not be released to the audience by the event day.
3. In-person poster presentation
-
You are earnestly requested to attend to your poster and/ or demonstration stations during the poster presentation session on 14 December 2022. The main purpose is to explain and demonstrate your teaching and learning project, development or project to any interested parties and answer queries. This is a good way to find new collaborators.

If you are not available to attend the poster presentation on the day, you can assign your colleague(s) to facilitate the session for you. In this case, you are encouraged to inform the event team about the arrangements as soon as possible. Make sure that the representative(s) knows about the arrangements of poster presentation.

Presenters are welcome to bring along additional helpers to support the facilitation. However, the maximum number of all the facilitators for each poster (station) should be limited to 2.

If you are planning to request an extra area to set up live demo (e.g. VR / AR, installation/device(s) could not be placed on classroom desk), contact the event team in advance for further arrangements.
NOTES ON PREPARING THE SHORT INTRODUCTION VIDEO
1. Length and content

The length of the video should be within 3 minutes and in MP4 format.

Purpose of the video is to give viewers a quick introduction of the work done.

Make sure you have the information about abstract title, name of the author(s) and affiliation in the video.

No video editing services will be provided to presenters.
2. Submitting your video

NOTES ON SUBMITTING A SHORT PAPER [OPTIONAL]
It is OPTIONAL for successful applicants to submit a short paper. All submitted papers will be housed in the Expo website and made available to the public prior to the event day.
1. Format
-
The short paper should be written in English and prepared as word doc.

Within 4-7 pages including diagrams and references.
-
Single line spacing and in normal margin.
-
Font in Times New Roman with 12-point font size.
-
Make sure you have the information about paper title, name of the author(s) and affiliation in the paper.
2. Submitting your short paper

The digital copy of the paper in both PDF and word format (.doc or .docx) should be emailed to expo@cuhk.edu.hk two weeks prior to the event.

To facilitate our follow up, the paper file should be named with your submission ID. Please also state your submission ID, as well as the abstract title in the email.
