Oral Presentation Guidelines

All oral presentations will be scheduled on 12 December 2024 between 1:30 p.m. and 5:45 p.m. and take place in CUHK campus.

  • Presenters with similar presentation topics will be grouped by theme in the same session.

  • Each session will last around 75 minutes, and each presentation will be given a timeslot of 15 minutes in total.

  • Following each theme's presentations, there will be an open floor discussion. All speakers are required to remain for the entire session and participate in the open floor discussion.

Notes on Preparing Oral Presentation

 

1. Arrangement of the Themed Parallel Sessions (Oral Presentations)

  • The details of your assigned session, e.g., venue and session start time, will be confirmed at least two weeks before the event.

  • All presenters scheduled for the same session are kindly requested to arrive at the venue 15 minutes prior to the session start time, irrespective of the order of presentation.

  • Please manage your time well and make sure you do not exceed the 15-minute presentation time. The session facilitator/event support staff will give you a signal when there are 5 minutes and 1 minute left before the end of your allocated time.

  • The following equipment will be provided in each classroom: a Windows desktop which is connectable to the internet, projector, and two microphones (wireless/wired).

2. Designing Presentation Materials

  • The presentation materials could be in any type (e.g.16:9 or 4:3 slides/notes) and in any commonly used format, e.g., .ppt, .pdf, .jpg).

  • Make sure the abstract title, name of the author(s) and their affiliation, and the acknowledgement of the source of funding (if applicable) in the presentation materials.

  • It is suggested to prepare your materials in a more concise manner by focusing on a few main points and using clear and sufficient graphics.

3. Submission of Backup Presentation Materials

  • It is strongly encouraged that presenters send a copy of the presentation files to the working team by emailing  expo-cfp@cuhk.edu.hk at least two working days prior to the event. Alternatively, presenters could bring along their presentation files to the venue on the event day.

  • If the set of submission files exceed 10MB, please send us the shareable link of the files, for example, through Office 365 OneDrive, Google Drive, etc..

  • The collected files will NOT be shared with third parties or the public without the consent of the presenter(s)/author(s).


 

4. Recording of Presentation/ Use of Presentation Materials

  • All presentations, open floor discussions, and question-and-answer (Q&A) sessions will be audio recorded. The event organisers reserves the right to publish the recordings as part of the event archive unless objections are received before the archive is released.

  • If you have any concerns and/or do not wish to have your recording or photo published, please contact the working team by email to expo-cfp@cuhk.edu.hk at least two working days prior to the event.
