Poster Presentation Guidelines

The interactive poster presentation session will take place on Tuessday, 02 December 2025, between 11:30 am and 1:45 pm. A 100- minute session will be arranged.

Interactive poster sessions offer a dynamic opportunity to share your work and engage in meaningful conversations with participants and like-minded colleagues.

Each in-person participant will cast one vote to select their favourite poster. The poster that received the most votes will win the People's Prize.

Poster Presentation Requirements​

Authors of accepted poster abstracts should:

[i] Submit a poster measuring 95cm (width) X 145cm (height) in high-resolution JPEG or PDF format by 12 November 2025. Save the printed file without bleed marks.

[ii] Present the poster during the session on 02 December 2025. Engage actively with fellow participants and address any questions they may have.​

Support Services for Poster Presenters

A free poster printing service will be available for accepted submissions. The organiser will set up all printed posters at the physical venue before the session begins.

Sustainable Poster Printing​

All printed posters will use environmentally friendly paper that is PVC-free and recyclable.

Poster Awards at Expo 2025

​​

  • To enter the competition, applicants should indicate their interest and choose the award category that best aligns with their work when submitting an abstract:

    • Educational Technology Innovation: Projects that best illustrate innovative use of technology for teaching and learning.

    • Pedagogical Innovation: Projects that best illustrate the use of innovative pedagogy, involving technology or not.

    • Educational Impact: Projects that best demonstrate the impact on teaching and learning (e.g., impact on student achievement and academic performance, etc).

  • Submit the soft copy of your poster design in high-resolution JPEG or PDF format to the Working Committee by 15 October 2025.

​​

  • Shortlisted candidates will be notified between 24 anmd 25 October 2025 and invited to participate in:

    • An online interview session with the judging panel to elaborate on their work. Details of the interview schedule are as follows:

      • 07 November 2025, from 12:15 to 13:45

      • 08 November 2025, between 09:45 and 11:45

      • 10 November 2025, from 17:30 to 19:00

    • Attend your poster and demonstration station during your scheduled presentation time slot.

  • Awards will recognise posters that best represent innovative strategies or impactful projects in teaching and learning in various aspects. Results will be announced during the Presentation Ceremony and posted on the event website.

Poster Presentation Preparation Guide

​​

1. Poster Design

  • Poster Dimensions & Format:

[i] Submit your poster in a 1:1 high-resolution JPEG (.jpg) or PDF (.pdf) format. [ii] Required size: 95cm (width) X 145cm (height). (New poster size for Expo 2025)

[iii] Save the print file without bleed marks.

  • Colour Specification:

Use CMYK (Cyan-Magenta-Yellow-Black) colour model for optimal print quality.

  • Required Information:

Ensure your poster includes the abstract title, author names, and institutional affiliations.

  • Layout Tips:

[i] Consider using multiple columns.

[ii] Present a brief introduction, a clear explanation of your project or strategy, and evaluation results if available.​

[iii] Highlight a few key points using clear graphics, dot points, or outlines.

[iv] Ensure all text is readable, using an appropriate font size and style.

  • Image Guidelines:

Confirm that all images are of sufficient resolution and free of copyright-infringing materials.

  • Funding Acknowledgement:

Projects funded by a university or a UGC funding scheme (e.g., IICA, TDLEG, FITE, CDGS) should include a brief acknowledgement on your poster.

​​2. Poster Submission

  • Authors and presenters of accepted abstracts will receive an online submission form via the notification email.

  • Upload the soft copy of your poster to a cloud storage platform, such as Office 365 OneDrive or Google Drive, and submit the shareable link to the Working Committee by the designated deadline.

  • Name the submission file using the assigned abstract ID and the first author's name.

  • If you make changes to the submitted file, even if the shared weblink remains unchanged, notify the Working Committee at expo-cfp@cuhk.edu.hk.

3. On-Site Preparation (The exact arrangements will be sent to authors in mid-Nov)

  • Attend your poster and demonstration station during your scheduled presentation time slot.

  • Poster presenters and representatives may access the poster booth areas starting at 09:30 am on Tuesday, 02 December 2025, to prepare for their sessions.

  • Engage actively during the sessions to showcase your project, explain your teaching approach, and address any questions attendees may have.

  • Do not use amplifiers at the individual poster stations.

  • Digital equipment loan services will not be available.

4. Special On-Site Arrangement Requests

If your poster station requires special on-site setup or logistics, contact the Working Committee at expo-cfp@cuhk.edu.hk by Friday, 07 November 2025, to coordinate arrangements. Special requests may include:

  • Desks or additional space to support your station's setup

  • Continuous electricity access throughout the session

[Note: Due to venue limitations, power access may not be available to poster stations that use notebooks with light or moderate tasks (e.g., browsing, video viewing).]

  • Live demonstrations such as VR or AR setups, or installations that require more than two hours of preparation before the sessions

The Working Committee will review each request on a case-by-case basis.
